Our Chairman, Hamish MacLeod has written to our members and supporters in regard to the definition of membership of the Peter Alliss Masters charity and the need for their participation at our AGM.

 

The constant changing of many of the Golf clubs involved in PAMGS has led to some confusion in regard to the definition of the membership of the charity. This has been almost unavoidable but hopefully the proposals for re-definition that were decided upon at the committee meeting of the 12th March will be adopted when put forward for acceptance at the next AGM.

 

PROPOSED REDEFINITION OF MEMBERSHIP

 

Membership will be offered to individuals whom the PAMGS committee deems to have made a significant contribution to the PAM and similarly to clubs and organisations who have also made a significant contribution (they will be represented by a named representative. of their choice).

 

Holding our AGM  has created difficulties in the past due to 1) the lack of time available when held at The Craw’s Nest, Elie prior to the Monday evening’s activities and 2) the chronic lack of members attending to enable a quorum to be achieved.

 

The participant members and Golf club/Society members involved in the activities of the PAMGS are far flung and hence to hold an AGM of relatively short content and duration, is just not practical in terms of time and travel and thus, although Elie seemed the obvious choice, it has not worked.

 

Nevertheless an AGM has to be held as defined in our constitution and as part of our responsibilities to the Charities Commission.

 

The AGM issue may seem to many, not to be too much of a problem as the PAMGS  appears essentially to be only concerned with organising the Peter Alliss Masters at Elie and other powered wheel chair  presentations when they are made outside the confines of individual clubs (e.g. at the Open, Ryder Cup and Elie etc.)

 

The workload is of course very much greater, especially on our Treasurer, Ray Feldwick. There are bureaucratic minefields everywhere and with large amounts of money to guide into the various channels of pwc proviso around the country.

 

It is proposed that we hold our next AGM on the 20th August 2009 which is also the date of our pre Elie committee meeting. This meeting is scheduled to be held at Park House. Bradford. Bradford, BD11 2HW at 2:00pm.

 

Acceptance of the proposed changes, as detailed below, will be sought.

 

CONSTITUTION

 

Clause 9 - General meetings section 6:

 add - ‘Members are deemed to be present at a general meeting if they return a proxy form to the Society indicating their voting intention on each of the proposals previously defined in the notice of the meeting’.

 

Clause 11 section 1

Reworded to read - ‘no business shall be transacted at any general meeting unless a quorum (which will include those voting by proxy) is present’.

 

PAMGS BYE LAWS

 

Clause 8 section 8.2

 

Add:

 

1) Members wishing to raise items for discussion at any general meeting, including an Annual General Meeting should do so 14 days before the scheduled time of the meeting.

 

2) Any member’s proposal to be tabled at any general meeting must be seconded by another member and be received by the Chairman of Trustees at least 14 days prior to the scheduled date of the meeting.

                                       

            3) Voting by Proxy - Members who are unable to attend a previously notified           Annual or Extraordinary general meeting may complete and return a proxy form (see appendix 3) indicating their voting preferences. This must be received at the             Society’s registered address at least 48 hours in advance of the meeting.
